About the Role

We are looking for an experienced Office Manager to oversee the launch and day-to-day operations of a new London office.

This role will play a key part in ensuring the successful completion of the office fit-out, managing facilities and suppliers, and creating an efficient, welcoming working environment for a growing team.

The ideal candidate will bring strong office management experience, proven involvement in office launches or relocations, and excellent organisational skills, with the ability to manage multiple priorities in a fast-paced, growing business.

Key Responsibilities

  • Oversee the final stages of the King's Cross office fit-out, coordinating contractors, furniture installation, AV systems, access control and outstanding works.

  • Ensure the office is fully operational and ready for its scheduled opening date.

  • Manage daily office operations, including facilities, maintenance, supplies and workplace services.

  • Build and maintain relationships with landlords, contractors, suppliers and external service providers.

  • Monitor office budgets, track expenditure and ensure cost-effective supplier management.

  • Take ownership of workplace health and safety compliance, including risk assessments, fire safety, first aid, DSE assessments and statutory documentation.

  • Coordinate onboarding logistics for new employees, including desk allocation, equipment arrangements, building access and first-day preparations.

  • Work closely with shared IT services to ensure employees have the necessary equipment and technical support.

  • Maintain meeting rooms, audiovisual equipment and office facilities to support collaboration between London and Bengaluru teams.

  • Organise office meetings, client visits, internal events and business functions, including hosted dinners and roundtables.

  • Act as the primary on-site contact for shared services teams across IT, HR and Procurement.

  • Identify opportunities to improve workplace processes, employee experience and operational efficiency.

  • Support the continued growth of the office, ensuring facilities and services meet the needs of an expanding workforce.

Key Requirements

  • 5+ years of experience in Office Management, Facilities Management or Workplace Operations.

  • Proven experience managing an office environment supporting 25+ employees.

  • Previous responsibility for delivering an office launch, relocation or fit-out project.

  • Strong experience managing external suppliers, contractors and workplace budgets.

  • Working knowledge of UK workplace health and safety legislation and compliance requirements.

  • Excellent organisational and multitasking skills, with the ability to manage competing priorities.

  • Strong communication and stakeholder management skills.

  • Experience coordinating employee onboarding logistics and workplace arrangements.

  • Ability to work independently, take ownership of operational challenges and resolve issues efficiently.

  • A proactive, service-focused approach with strong attention to detail.

  • Comfortable working within a fast-paced, growing organisation.

Desirable Experience

  • Experience supporting office expansion or workplace operations within a scale-up environment.

  • Familiarity with office AV systems, access control and workplace technology.

  • Experience coordinating corporate events, client meetings and executive visits.

  • Knowledge of facilities management processes, supplier contracts and procurement.

  • Experience working with international teams and shared services functions.

  • Relevant health and safety training or certifications, such as IOSH or NEBOSH.
